  • When approved, the person who has sent project mandate to initiate the project submits a detailed project brief, covering the resources, actions, manpower, etc. required for the project.

2. Directing a project

  • Once the project is approved, the project board decides what needs to be done to organize and execute the approved project, and what/how it will be delegated to the project manager.

3. Initiating a project

  • Now, the project manager prepares a Project Initiation Documentation, which includes a complete project plan and baselines for 6 performance targets: time, cost, quality, scope, risk, and benefits.
  • The Initiation document is sent to the project board for approval. The board approves, if the board is confident and clear about the project plan from where the work begins.

4. Controlling a stage

  • The project is divided in to smaller phases by the project manage, which is then assigned to team managers and teams to work upon.
  • The progress of project phases is monitored by the project manager, who intervenes when necessary to correct errors and overcome roadblocks.
  • Team managers act as the link between the individual team members and project manager, they not just coordinate daily work but also ensure that everything goes as planned.

5. Managing product delivery

  • Project manager checks progress of the project against the project brief to ensure that all deliverables meet PRINCE2 quality expectations.
  • Project board reviews and evaluates the completed work phases. The work is either approved or requested for revisions.

6. Managing stage boundaries

  • Project board and project manager review each stage of project development to ensure that the project is progressing as per the plan and meeting all defined project assurance requirements.
  • While reviewing each phase, the project board also decides if they should move on to the next stage or reject the project completely.
  • Project managers direct the project team to record any lessons learned during the development to improve the next stage.

7. Closing the project

  • Once the project is complete, the project management finishes the process with tasks like PRINCE 2 Foundation Training documentation, outcomes, and reporting.
